What the calendar shows

The Calendar shows your bookings positioned on a time grid, rather than as a list. It is the quickest way to answer "what does Thursday look like?" or "where is the gap this afternoon?".

Every time on the calendar is shown in your organization's timezone — the same one your clients see when they book — so you never have to convert anything in your head. The timezone is printed under the grid.

Week view and day view

Switch between the two with the Week and Day buttons.

  • Week gives you seven columns, one per day, with every coach's bookings together. Use it to see how busy the week is and where the quiet days are.
  • Day gives you one column per coach, side by side. Use it to see who is free at a particular time — for example when a client asks for Tuesday at 17:00 and you want to know which coach is open.

Use the arrows to move a week or a day at a time, and Today to jump back.

Tip

The calendar keeps its position in the page address. Once you have the week and coach you want, you can bookmark it, or paste the link to a colleague and they will open the same view.

Reading the grid

Each booking is a block, positioned by its start time and sized by its length:

  • Confirmed bookings are green, with a tick.
  • Awaiting approval bookings are amber, with a clock. These still need you to accept or decline them.
  • No-shows are red, with a warning mark.

Each block also carries the time, the client's name, and — in week view — which coach it is for. Selecting a block opens that exact booking in Bookings, where you can approve, decline, reschedule, refund or cancel it.

Bookings happening at the same time sit side by side. In week view a single column covers all of your coaches, so two sessions booked for 10:00 share that column — they narrow to fit next to each other rather than covering one another up. If the blocks get too narrow to read, switch to day view, or pick one coach from the dropdown.

Hatched areas are closed time. In week view a day is treated as open whenever any of your coaches is open; in day view each coach's own opening hours are shaded separately, so a coach that is closed while others are open is obvious. One-off closures you have set — holidays, time off — appear as their own labelled band with the reason you gave.

Good to know

A booking made outside your opening hours still appears. If you or a client books a slot that falls in closed time, the calendar shows it against the hatching rather than hiding it, so nothing goes unnoticed.

Focusing on one coach

The dropdown on the right filters the calendar to a single coach. In day view that leaves one column; in week view you get that coach's week on its own, with its own opening hours shaded. This is the fastest way to check a single coach.

Changing what you see

The calendar reflects your availability settings — it does not set them. To change opening hours, add a closed day, or block out a holiday period, use Availability.

Tip

If the grid looks emptier or busier than you expect, check the coach filter first, then your opening hours. A day with no opening hours set at all shows as entirely closed.
