Write notes about each session — keep them within your team, or share them with the client under that booking.

What session notes are

A session note is what you write about one session: what you worked on, how it went, and what the client should keep doing before next time. Every note belongs to a booking, so it stays next to the session it describes.

Each note is either:

  • Team only — your team sees it, the client never does. Use it for your own observations and planning.
  • Shared with client — the client also sees it, under that booking in My bookings on your booking page. Use it for the recap and homework you'd otherwise send by email.

Writing a note

  1. Open the booking from Bookings (or from the client's page).
  2. Under Session notes, write your note.
  3. Turn on Share with the client if they should see it.
  4. Choose Save note (or Save and share).

You can write a note before the session as well as after — a plan for the session, for example. Bookings without a client record can't carry notes.

Editing, sharing and deleting

Notes can be changed after you've written them. On each note you can:

  • Edit the text. The note is marked as edited.
  • Share with the client, or Make private again — the client sees or stops seeing it straight away.
  • Delete it.

Sharing, un-sharing and deleting a shared note are each recorded in the booking's history (that it happened, not what the note said), so you can always see when the client's view changed.

Who can see and change notes

  • Owners and admins see every note and can edit or delete any of them.
  • Coaches see every note — team only and shared — on the bookings of the coaches they're linked to, including group classes they co-coach. They can edit and delete the notes they wrote themselves.
  • When someone leaves your team, their notes stay. They show as written by a former team member, and only an owner or admin can change them.
  • If a client withdraws their health-data consent for a booking (from their booking confirmation page), every session note on that booking is permanently erased, team-only ones included — notes can hold health details, so they go along with the client's medical answers. The booking's history records that it happened, not what the notes said.
  • The client sees only the shared notes on their own bookings, with the date — once they've proven the email address is theirs, by opening the sign-in link Stund emails them or with a confirmed account. They don't see your team-only notes or who on your team wrote a note.

Where notes appear

  • On the booking — all its notes, with the composer.
  • On the client's page under Clients — their latest 50 session notes across all bookings, newest first, each with a link to its booking. Each booking always shows all of its own notes.
  • In the mobile app — on the booking's detail screen, for reading.
  • For the client — shared notes under the booking in My bookings, past and upcoming.

Session notes, private notes and the log

Three different places hold notes, each for its own job:

  • Session notes (this article) — about one session, editable, optionally shared with the client.
  • The private note on the client's page — your team's notebook about the client as a whole. Never shared.
  • Internal log entries on a booking — a permanent record in the booking's history. Can't be edited, never shared.

Good to know

Session notes can hold sensitive details, such as injuries or health conditions, so Stund encrypts their text before storing it, and shows shared notes only to someone who has proven they own the client's email address. Write only what you'd be comfortable with the client reading if you plan to share it, and keep anything else team only.
