What is the Stund owner app?

The Stund owner app is a native mobile application for iOS and Android that lets you manage your bookings from your phone. It's designed to keep you in the loop about new client requests and help you respond quickly — whether you're at the gym, between sessions, or on the go.

Getting the app

The owner app runs on both iOS and Android phones. Once installed on your device, sign in with the same email and sign-in method you use for the Stund dashboard.

Logging in

Use your existing Stund account. The app supports email/password, email code, and Google. (Passkeys are web-only for now.) Your session stays on your device — signing out clears all data.

You need an organization first

The app manages an organization you already have — it isn't where you create one. If you sign in and don't have one yet, the app shows a Set up your organization button that opens the setup in your browser, already signed in as you. It takes a couple of minutes, and the app picks up your new organization as soon as it exists.

Setup lives on the web because it covers things the app doesn't carry: your opening hours, what you charge, your page text, and connecting a payout account (which needs your bank details and ID). Once that's done, the app is where the day-to-day happens.

Good to know

Owners and admins always have full access in the app. A team member with the Member role only sees the app come alive once an owner or admin assigns them to a coach (see Assigning team members to a coach) — until then, the app tells them there's nothing assigned yet. Once assigned, a member can work that coach's bookings and schedule from the app, same as the dashboard, just scoped to that one coach.

Main features

Viewing your schedule

The Schedule tab shows the coming week in a timeline view, organized by day. You'll see confirmed sessions, pending requests needing approval, and a summary of today's schedule. Tap any booking for details and actions.

Managing pending booking requests

When a client submits a booking request, it appears in your queue. You can:

  • View the request — see the client's name, requested time, coach, and any notes they left
  • Accept or decline — tap the buttons, or use the swipe gesture (see below)
  • Get details — check what time they're asking for, how long they need, and whether there are questions to answer

Quick swipe actions

  • Swipe right to accept a request
  • Swipe left to decline a request

Buttons are always available too — the swipe is just a shortcut for when you're triaging requests between sessions.

Good to know

Everything you approve in the app appears in the dashboard Bookings inbox too — it is the same queue, not a separate one.

Viewing all bookings

The Bookings tab shows the full history of all bookings — upcoming, past, cancelled, no-shows, and anything awaiting payment. You can filter by status and search for a client by name or email. Tap any booking to open it.

What you can do from a booking

A booking you open is not just a read-out — it carries the same decisions you would make at your desk. Which buttons appear depends on where the booking stands:

  • Accept or Decline, while it is still a pending request. Declining asks you for a reason first, and the client is told.
  • Cancel booking, once it is confirmed and hasn't started yet. The client is notified, and a booking they already paid for is refunded.
  • Mark as no-show, once a confirmed session's start time has passed and the client never turned up.
  • Mark as paid, when a booking is waiting on money and the client settled it in person — cash or card terminal.
  • Refund payment, on anything already paid. This returns the money but leaves the booking standing, which is what you want for a goodwill refund or a double charge. Cancelling already refunds, so you don't need both.

You can also call, text or email the client straight from the booking, and press and hold their phone number or email address to copy it.

Client list

The Clients tab shows every client who has booked with you, so you can see at a glance who they are and their booking history — useful for a quick refresher before a session.

Notifications

The app can put a notification on your phone when:

  • A new booking request arrives (so you don't miss it mid-session)
  • A client cancels a booking that hasn't happened yet
  • Your next confirmed session is coming up (a reminder)
  • The day ahead is worth a one-line summary (a short morning digest)

How quickly they arrive

Worth knowing, so you don't rely on it for something urgent: the app finds new requests by checking in the background and then raising the notification on your own phone. Your phone decides how often that check runs — roughly every 15 to 60 minutes — so a notification usually reaches you within the hour rather than the second the request lands. It needs no setup at all, works on both iPhone and Android, and keeps running while the app is closed.

Truly instant delivery, where our server pushes the alert to your phone the moment a request comes in, is an Android-only extra that has to be switched on for the build you have installed. On iPhone the app always uses the background check. Either way, keep your email alerts on for anything you can't afford to see an hour late.

Turning notifications on

The app deliberately does not ask for permission the first time you open it. A permission dialog with no explanation is easy to dismiss by reflex, and newer Android phones only ask once — so the ask waits until it makes sense.

Instead, a small card appears at the top of your first tab, once you're already looking at your queue, offering to notify you about new requests. Tap Enable notifications on that card and your phone's own permission dialog appears. Say yes and you're set.

Tap Not now and the card is gone for good — it won't nag you again. You can still turn notifications on later in your phone's settings for the Stund app; the app picks that up the next time you open it. If you refused your phone's dialog, its settings are the only way back.

Accept from the notification

When you get a notification about a new request, you can accept it directly from the notification — without opening the app — by tapping the Accept action. (This is most helpful if you're with a client and just want to confirm availability quickly.) Declining still requires opening the app to confirm, to keep you from accidentally rejecting something.

Tip

If most of your listings auto-confirm, you'll get a buzz for every booking. On Android each kind of notification is its own channel in your phone's settings for Stund, so you can quiet new-request alerts and keep the reminders and the morning summary.

No extra account needed

Notifications work with your existing Stund account — there's nothing separate to sign up for. Once you've allowed them, the app handles the rest, including registering your phone for instant delivery where that's available.

Background updates

While you stay signed in, the app quietly keeps itself current:

  • Every 15–60 minutes (at your phone's own pace) it checks for new requests, and for bookings your clients have cancelled
  • Anything new raises a notification on your phone
  • Your app icon shows a badge with the number of pending requests

This runs even when the app is closed. It stops when you sign out, and force-quitting the app can hold it up until you next open it.

You need a connection

The app reads everything live from Stund, so it needs a connection to show you your day. It does not keep a copy of your bookings for reading offline — if you're somewhere without signal, expect an error rather than yesterday's list.

What you loaded a moment ago stays on screen while the app is still open, so moving between tabs is instant. Close the app and it starts fresh next time. Pull down on a list to fetch the latest.

Security & troubleshooting

  • Your session is secure and stored on your device only
  • Signing out clears all data from your phone
  • Notifications use your device's secure channels

If you're not getting notifications, check that the app has permission in your device settings and isn't force-quit. If you can't sign in, use the same email and password as your web dashboard.
