Group classes and clinics

Schedule group fitness sessions, clinics, and workshops. Assign single coaches, co-hosts, or TBD, manage recurring series, and handle coach substitutions.

What are group classes?

Group classes let you offer sessions that multiple participants can book simultaneously up to a maximum capacity. Unlike one-on-one appointments, a group class has a fixed schedule, capacity, and assigned coaches.

Examples include group workouts, yoga flows, spinning classes, bootcamps, paddle clinics, and weekend workshops.

Setting up a group class session

You can create a class session directly from the Classes section in your dashboard:

  • Class Title & Service: Select the service template that defines the pricing and general details.
  • Start Time & Duration: Choose when the session begins and its duration in minutes.
  • Maximum Capacity: Define how many participants can book a spot before the class is marked full.
  • Assigned Coaches: Choose who will coach the class. You can assign a single coach, multiple co-coaches, or leave the coach as TBD if staffing is still being finalized.
  • Recurring Schedule: Set whether the session repeats weekly and for how many weeks (up to 24 weeks in advance).

When a coach is assigned to a group class, their calendar automatically blocks off those hours so clients cannot double-book them for 1-on-1 private appointments at the same time.

Multi-coach hosting and TBD sessions

Every organization has different staffing requirements:

  • Single Coach: The primary coach leads the session.
  • Co-Hosting: For large bootcamps or complex workshops requiring multiple trainers, assign two or more coaches. The class will block availability for all assigned coaches simultaneously.
  • TBD (To Be Decided): Publish your schedule in advance even while staffing is being finalized. Sessions appear on the schedule as "Coach TBD", and open for client booking once a coach is assigned.

Coach handovers and substitutions

When an assigned coach is unable to teach a scheduled class, they do not need to cancel the class and disrupt clients:

  • The coach or any organization administrator can request a Cover / Handover directly from the class card in the dashboard.
  • You can either open the request to any available coach or assign it directly to a specific colleague.
  • Other coaches can view open cover requests and click Claim Session with one tap.
  • Once claimed, the schedule instantly updates, the new coach is assigned, and calendar availability reflects the change immediately.

Roster management and attendance check-in

During and before class time, coaches can open the session drawer to manage attendees:

  • View the real-time attendee list with names, booking times, and spot counts.
  • Mark participants as Checked In with a single tap as they arrive.
  • Cancel the scheduled session if needed, automatically notifying all registered participants and updating the class status.
